Expression of Interest – Casual Program Support Officer, Medicine Selection Interviews
James Cook University (JCU) is seeking Expressions of Interest from organised, customer-focused professionals to provide casual program support for the College of Medicine and Dentistry’s Medicine Selection activities.
This is an exciting opportunity to contribute to one of JCU’s most important annual admission activities by supporting the delivery of interviews for future medical students from across Australia and internationally.
Working as part of a collaborative team, you will assist with the coordination of multiple interview rounds throughout the year, ensuring applicants, interviewers and academic staff receive exceptional administrative support.
What You Can Accomplish in the Role
In this role, you will help deliver a professional, efficient and high-quality interview process by:
- Coordinating interview schedules for applicants and interviewers across multiple interview rounds.
- Monitoring shared inboxes and responding to enquiries in a timely manner.
- Preparing interview documentation, correspondence and schedules.
- Updating and maintaining information across multiple systems including interview management platforms and databases.
- Liaising with applicants, academic staff and interviewers to confirm interview arrangements and resolve scheduling issues.
- Supporting the delivery of interview sessions by monitoring interview progress, responding to operational issues and assisting with administrative coordination.
- Maintaining accurate records while ensuring confidentiality and attention to detail.
What You Can Bring to the Role
You are a highly organised administrator who enjoys working in a fast-paced environment and can manage competing priorities with accuracy and professionalism.
You will bring:
- Demonstrated experience in administration or program support.
Excellent organisational skills with the ability to manage multiple tasks and meet tight deadlines. - Excellent attention to detail and a high level of accuracy when working with confidential information.
- Strong communication and customer service skills, with the ability to interact professionally with a wide range of stakeholders.
- Confidence learning new software systems and working across multiple databases.
- The ability to work both independently and collaboratively as part of a team.
Flexibility to work additional hours during peak interview periods, including occasional early starts and late afternoon finishes.
Desirable
- Experience coordinating interviews, events or scheduling activities.
- Experience using different software systems and.
Previous experience working with a diverse range of stakeholders.
About the Opportunity
This casual opportunity supports several interview rounds each year. Work will vary throughout the year, with increased hours available during peak interview periods (August – November and early January) when interview scheduling and delivery activities are underway.
